PRIVACY POLICY
1. Introduction
The Privacy Amendment (Private Sector) Act 2000 (the Act) establishes minimum standards in relation to the collection and use of personal information. Information is classified as personal information if the identity of the individual is apparent or can reasonably be ascertained. This Policy outlines how personal information is collected, used, stored and protected by Sydney Turf Club.
2. Statement of Commitment
Sydney Turf Club respects the privacy of all individuals, clients, customers, business partners and employees. We are committed to the National Privacy Principles (NPP) and ensuring that all Club employees and contractors comply at all times with their obligations under the Act.
3. Information Held
The Club only collects personal information necessary to enable it to undertake normal business activities including: Membership administration; Raceday hospitality sales; Function & event sales; Promotions; Sponsorship; Direct marketing; Debtor and Creditor transactions; Employee relations activities.
4. Use and Disclosure of Information
Personal information is collected by lawful, fair, reasonable and unobtrusive measures and is only used for its original or primary collection purpose as described above, or for the related secondary purpose of direct marketing (see 7 below). With the exception of third party service providers, such as mailing houses, the Club will not disclose personal information to external parties unless the disclosure is required by law or the individual consents to such disclosure. Mailing houses used by the Club have provided statements to confirm they comply with an Industry Privacy Code or the National Privacy Principles.
5. Personal Information Quality and Security
Personal information is stored in a secure and confidential way. The Club operates secure data networks protected by firewall and password protection. A limited number of employees have access to personal information. The Club takes every measure to ensure the accuracy and currency of this information and will update information at the request of the individual. Individuals also have a right to access any personal information held by the Club at any time.
6. Membership Records
The Club collects personal information about Members including name, postal address, e-mail address, telephone number(s), fax number(s), proposer and seconder name and remarks, date and place of birth, occupation, other Club details, any court convictions, defaulter, insolvency or bankruptcy details. The Membership Manager, Membership Coordinator, Chief Executive, and Board of Directors view these details. These details are updated annually via the renewal notice or other correspondence received from Members. Members requesting personal information by phone, e-mail or mail must identify themselves by providing the following information: Name; Date of birth; Membership number. Members can access or update their personal information by contacting Louise McVicar, Membership Coordinator on 9930 4049.
7. Direct Marketing and Promotion
In addition to membership records, the Club collects personal information from restaurant and function centre feedback forms, racebook competitions, Internet competitions and sponsors. This information includes name, address, phone number(s), age, sex, and Membership number if applicable. This information is used for the related secondary purpose of direct marketing and promotional activities. The Club reserves the right to use this information to communicate business activities, promotions and special offers from sponsors and partners. Information is securely stored and not disclosed to any third parties, with the exception of mailing houses as outlined above. Individuals who do not wish to receive direct marketing or promotional material can contact the Club’s Associate Product Manager on 9930 4022 or e-mail sspratt@stc.com.au. If an individual elects this option our database will be noted accordingly.
8. Racing Information
The Club collects personal details from Bookmakers and Trainers who conduct business at our racecourses. This information is securely stored. Credit card details may be collected from people nominating a horse for a race. This information is only kept for the time required for processing or as required by law.
9. Employee Records
Employee records are exempt for past and present employees insofar as they relate to the employment relationship. Records for prospective employees are not exempt. Regardless, Sydney Turf Club will manage the collection and storage of information for past, present and prospective employees in accordance with the National Privacy Principles. The Club will not disclose an employee’s personal details to any other person without the written consent of the employee.
10. Privacy Inquiries and Complaints Procedure

It is important to distinguish between inquiries and complaints. Privacy inquiries are a request about the personal information held by the Club. Privacy complaints are expressions of dissatisfaction regarding the usage or disclosure of personal information. If an individual wishes to make a complaint they can write to the Privacy Officer above who will attempt to resolve the issue. Where the matter cannot be resolved a complaint can be referred to the Privacy Commissioner who will seek to resolve the complaint by conciliation.
